Suppliers

Keep supplier contacts and payment terms in one place and see how much you spend with each supplier

On this page

The Suppliers page shows who you buy from, how much you spend with each of them, and the contact details you need to place an order.

Premium

Suppliers are part of the Premium Finance hub.

Where do I find suppliers?

Click Money in the top bar, then Buying & stock › Suppliers, or the Suppliers tab on any Buying & stock page.

The green card at the top answers "Who does the money go to?" — your total spend and how many suppliers it went to, with a bar showing the share taken by your biggest suppliers. Beside it you'll see:

  • No email address — how many suppliers can't be sent an order by email yet. Add an email with Edit on the supplier.
  • On order — open orders (draft or sent) not yet invoiced, counted against budget lines until the invoice arrives.

Use the budget year selector to look at a different year. The Price lists button takes you to your suppliers' price lists.

How do I add a supplier?

1

Click Add Supplier

You'll find it at the top of the Suppliers page. You can also add a supplier on the spot with the add button beside Supplier while you're logging an invoice.

2

Fill in the details

Only Supplier Name is required. You can also add a Category (for example Turf Supplier, Amenity Supplies, Machinery Supplier or Fuel Supplier), a contact name, email and phone, the address, your Account Number with them and your Payment Terms.

3

Save

The supplier is now available on invoices, orders and price lists. Add their email so orders can be sent to them straight from New order.

One supplier, one name

Use the same supplier record every time. If "Smith Turf" and "Smith Turf Supplies" both exist, your spend with them gets split in two and the figures stop making sense.

Save time

Once a supplier is set up, click Price lists and upload their price list (PDF, DOCX, XLSX or CSV). TurfWise reads the products and prices for you, ready to pick on orders and invoices. See Purchase orders and price lists.

What does the supplier table show?

Each supplier row shows Total spend (what you've been invoiced), PO committed (open orders not yet invoiced), the number of Invoices, the Avg invoice value, the budget Categories you use them for, their Terms, your Rating and the date of the Last invoice. Suppliers you've marked inactive carry an Inactive tag, and suppliers with no email carry a No email tag.

  • Pick an option under Sort by to reorder the table.
  • Export CSV downloads the table as it stands.

Where suppliers come from

Every active supplier appears in the table, even a brand-new one with no purchases yet — they'll just show zero spend until invoices or purchase orders are recorded against them. The spend figures cover the selected budget year.

What's on a supplier's own page?

Click a supplier to open their page. You'll see:

  • Total spend, the number of Invoices, the Avg order value and the Last purchase date
  • a Monthly spend trend chart
  • Spend by category, showing which budget categories you use them for
  • their invoices, with line items and budget categories, and their purchase orders

Click Edit to update their contact details, payment terms, website, notes or rating, or to switch them to inactive.
