Purchase Orders and Price Lists

Keep supplier price lists, compare prices, send orders that go straight on the budget, and receive goods into stock

On this page

Purchasing is where you price up an order from your suppliers' price lists, send it, and track it until the goods arrive. Once you mark an order delivered, its spend is on the budget — the supplier's invoice is optional paperwork you can attach to it.

Premium

Purchase orders, suppliers, price lists and price comparison are part of the Premium plan.

Where is everything?

Click Money in the top bar. Under Buying & stock you'll find:

  • Purchases — every order and invoice in one list, and what's waiting on you
  • Suppliers — who you buy from and what you spend with them
  • Stock — what needs ordering
  • New order — build and send a purchase order
  • Price lists — your suppliers' products and prices

On any of these pages, the tab strip under the header shows Purchases, Suppliers and Stock. Price lists are reached from the Price lists button on the Suppliers page.

What's waiting on me?

The green card at the top of Purchases answers "What's waiting on you?". It lists up to three jobs, each with a count and an amount:

  • Confirm deliveries — invoices where the goods haven't been confirmed as delivered.
  • Post drafts — invoices captured on the phone that aren't on the budget yet.
  • Chase or cancel — orders sent over a month ago that still aren't marked delivered.

Click a job to filter the list to it. Beside the card you'll see what's been Invoiced this year, what's On order, not invoiced, and how many Invoices with no order there are. That's fine for anything you didn't order through TurfWise.

How does the Purchases list work?

Orders and invoices are listed together, newest first. Each row has a stage track — Ordered · Delivered · Invoiced · On budget — and the next action, such as Mark delivered, Post, Chase, Send or Open.

A delivered order shows On budget straight away, with its invoice marked Invoice optional. There's nothing more you need to do with it. The exception is an order that put nothing on the budget, usually because its lines had no budget line: it shows Not on the budget yet, and logging its invoice is what puts the spend on the budget.

  • Switch between Waiting on you, All, Orders and Invoices.
  • Search by supplier, reference or product, filter by status, or set a from and to date.
  • Export CSV downloads exactly the rows you've filtered.

Use New order or Log an invoice at the top of the page to start something new.

How do I get supplier prices into a price list?

Money › Buying & stock › Price lists holds the products and prices from each supplier's price list. Click Upload price list, pick the supplier and the PDF, and TurfWise reads the products, order codes, pack sizes and price tiers for you to check before you import. The import becomes the supplier's active price list. For the full walkthrough, see Upload a supplier price list.

If you only need one product, click Add Product to enter it with its order code, pack size and price tiers.

Save time

Upload the supplier's whole price list once rather than typing products in. Every product and price tier is then ready to pick on New order and on invoices, and TurfWise can tell you which supplier is cheapest.

How do I compare prices?

Tick up to four products on the price lists page, then click Compare. The Compare prices page shows one card per product, so you can answer "What does it cost?" and "Which is the better buy?".

  • Rank by Unit price, Pack price or Cheapest nitrogen. Litres are priced per litre and kilos per kilo, and the two are never ranked against each other.
  • Type the rate you apply a product at to see its Cost per hectare. The rate isn't saved.
  • Each card shows price breaks, nutrients, when you last ordered it and whether it's in stock.

When you've picked one, click Order on it. New order opens with that product and number of packs already in the basket — nothing is sent until you send it there.

How do I raise a purchase order?

1

Open New order

Click New order on the Purchases page, + New PO on the Budget page, or Money › Buying & stock › New order.

2

Add products

Under Find products, search by product name or order code and click Add. Where the same product is on two suppliers' lists, the cheaper one is marked Cheapest, and you can switch a line to the other supplier. Click Type it in for anything not on a price list.

3

Pick budget lines

Every line needs a budget line. Set one for the whole basket with Budget line for everything, or change individual lines. The panel at the side shows what the order does to each budget line before anything is sent.

4

Check the orders

TurfWise makes one order per supplier. Add Needed by, Deliver to, a Note for the supplier and, if you like, Your own order number — leave it blank to number it for you. Tick Add VAT to the orders if needed, and check the email under Send to for each supplier.

5

Send or save

Click Send order (or Send 2 orders, and so on). Each order is emailed and the money goes on order against its budget lines straight away. If a supplier has no email on their card, the order is marked sent and the PDF downloads for you to send yourself. Save as draft makes the orders but changes nothing on the budget.

Save time

On the Stock page, tick the lines in the Order now list and click Start an order. New order opens with those products already in the basket, matched to your price lists where they're on one.

What can I do on a purchase order?

Open any purchase order from the Purchases list. Most actions sit at the top of the page:

  • Send (or Resend) — email the order to the supplier.
  • PDF — download a copy.
  • Mark delivered — confirm the goods have arrived. This records the spend and adds the goods to stock.
  • Cancel — cancel the order. The money on order against its budget lines is released, and this can't be undone.
  • Attach invoice (optional) — once an order has been sent or delivered, start the supplier's invoice with the order's details filled in and already attached to the order.

While an order is a draft, Edit Lines lets you change its lines. The VAT panel switches VAT on or off for the order. An order moves through Draft, Sent, Delivered or Cancelled.

Marking delivered is the spend

When you click Mark delivered, the order's spend goes on the budget (for each line that has a budget line) and its lines are received into your stock, so your stock levels go up without any extra typing. You don't need to enter the invoice afterwards.

Do I still need to enter the invoice?

Not for a delivered order. The order already holds the spend and the stock, so the invoice is just paperwork.

If you'd like the invoice on file, click Attach invoice (optional) on the order, or pick the order under Our order when you log the invoice. Attaching it adds no extra spend, and goods the order already brought into stock aren't added again. The invoice is saved as Delivered too, so you don't need to mark it delivered.

If marking the order delivered put nothing on the budget (usually because its lines had no budget line), the order shows Not on the budget yet. The invoice form tells you so, and the attached invoice records the spend.

Don't enter it twice

An invoice for a delivered order that's saved without its order counts the purchase again. When you log an invoice, TurfWise suggests the order it looks like — the same supplier with a matching order number, or about the same amount — and asks before saving it on its own.

You only need to enter an invoice on its own when there's no TurfWise order for the goods.
