Usage & Fuel

See machine hours gathered from completed jobs, log ad-hoc use and fuel by hand, compare machines over the year and set the fuel prices that cost each job

On this page

Usage & Fuel shows how many hours each machine has done, where those hours came from and what fuel went through it.

Open Team & kit > Machinery > Setup > Usage & Fuel. It's included on Core.

Where do the hours come from?

Two places, and the page keeps them apart:

  • From Tasks (Auto) — when a job with a machine on it is completed in the Planner, the hours are counted here without anyone typing anything.
  • Manual Entries — ad-hoc use you log yourself: training, a loan to the clubhouse, a job that never went through the Planner.

The three figures at the top are Total Hours, From Tasks (Auto) and Manual Entries for the chosen period. Change the period with This Year, This Quarter, This Month or Custom.

Put machines on jobs

The automatic count is only as good as the Planner. If a mower is on the job when it's planned, its hours arrive here on their own; if it isn't, the hours don't exist as far as TurfWise is concerned.

What do the four tabs show?

  • By Machine — one row per machine with hours From Tasks, Manual, Total Hours and the number of Tasks.
  • Timeline — a line per machine (the top ten) across the period, by week or by month depending on how long the period is, so you can see who's doing the work and when.
  • From Tasks — every completed job that counted: when it was completed, the task, the machine, the operator and the hours.
  • Manual Entries — everything logged by hand, with date, machine, operator, hours, Fuel (L) and buttons to edit or delete.

How do I log ad-hoc usage?

1

Click Log ad-hoc usage

It's at the top of the page.

2

Fill in the entry

Machine, Date and Hours are required. Add the operator, Fuel Used (Liters) and any Notes if you have them.

3

Click Log Usage

The entry appears under Manual Entries and is added to the machine's total. To change it later, use the edit button on its row.

What are the fuel cost settings?

The Fuel cost settings card sets a Price per unit (£) and an Effective from date for Petrol, Diesel and Electric (the Not applicable row can be left blank). These rates are what TurfWise uses to put a fuel cost on each job a machine works. Click Save changes when you've updated them, or Reset to go back to the saved figures.

Premium

The page and the hours are included on Core. Fuel prices are part of machinery finance tracking, which needs Premium — on Core the card won't save.

Ad-hoc hours don't move the meter

Completed jobs add hours to the machine for servicing, but entries logged here by hand don't change its hour reading. Services due by hours still count from the meter reading you log on the machine — see Servicing and maintenance.
