Log an invoice from a photo

Photograph or upload a supplier invoice and TurfWise reads the supplier, lines and totals into the form for you to check and post to the budget

On this page

Photograph or upload a supplier invoice and TurfWise reads it for you, filling in the supplier, invoice number, date, lines and totals ready for you to check.

Save time

A long invoice can mean ten minutes of copying lines and prices. Uploading it fills the form in seconds, so all you do is check it and pick the budget lines.

This is part of Premium, with budgets, invoices and stock.

How do I log an invoice from a photo or PDF?

Click Money in the top bar, then Buying & stock › Purchases, and click Log an invoice. The page works in three steps: Read, Check and Post.

1

Upload or photograph it

In The invoice, click Upload or photograph. You can choose a PDF, or a JPEG, PNG or WebP photo, up to 20MB. On a phone or tablet, your device will usually offer to take the photo there and then. Large phone photos are shrunk before they're sent.

2

See what was read

While it works you'll see Reading invoice…. Then it tells you how many lines it read and how sure it is, shown as a percentage. Any warnings are listed underneath.

3

Check every field

The supplier, invoice number, date, total, VAT and each line are filled in. If the supplier it read isn't in your list, you'll be asked to pick it or add it. Where it can, TurfWise also suggests a budget line for each item.

4

Post it

Make sure every line has a budget line, then click the Post button. It shows the amount and where it's going, for example "Post £412.50 to Fertilisers". The file you uploaded is attached to the invoice automatically.

AI reads it, you check it

The page says it plainly: check every field before posting. Look closely at quantities, unit prices and VAT, because a misread figure goes straight onto your budget.

Rather type it yourself? Click Type it in instead.

Why can't I post it yet?

TurfWise won't let you post an invoice until it adds up. You'll be told exactly what's missing, for example:

  • an invoice number or supplier
  • a description, quantity, price or budget line on a line
  • "The lines and VAT don't add up to the printed total", with how much it's short or over

Fix the line or the VAT and the button comes back.

Posting goes straight to the budget

Posting puts the spend on the budget, dated the invoice date, and any stock lines into stock. There's no separate draft step for a new invoice, so check it before you click.

What about invoices photographed on the mobile app?

Invoices photographed on the TurfWise mobile app arrive as Draft invoices instead. Open the draft, check it in the same way, then post it. See Supplier invoices.
