The TurfWise mobile app
What your team can do in the TurfWise mobile app, how it keeps in step with the desktop, and how to get access
On this page
The TurfWise mobile app puts the day's work in your team's pockets, so they can clock in, see their jobs, run machine checks and log what they find without going back to the shed.
It works alongside TurfWise on the desktop, not instead of it.
What can the team do in the app?
Here's what the app is for:
- Clock in and out, and take breaks
- See today's jobs and work through them
- Check the work planner to see what's coming up
- Run machine pre-start checks by scanning the QR code on a machine
- Chat with the rest of the team
- Make notes with photos and voice
- Post to your members' page — open Capture › Post to members, take a photo or record a video and add a line or two. Staff posts go to a manager to approve. Videos keep uploading if you close the app. On the iPhone app for now. See Members' page.
- Read health & safety documents, such as risk assessments, COSHH assessments and safe systems of work
- Check the weather outlook
- Request annual leave
Premium
Some app features depend on your club's plan. For example, leave requests are part of Premium's staff time and attendance, while personal clock in and out is included on Core. See Core and Premium plans.
How does the app work with the desktop?
The app and the desktop sync both ways. A job ticked off on the phone shows up in the office, and a job planned in the office appears on the phone. Clock-ins, checks, notes and chat all travel the same way.
A few things are only set up on the desktop and then appear on the phone:
- Course areas -- your greens, tees, fairways and other areas are managed in Course Areas on the desktop. The app can't add, rename or delete areas. See Course Areas.
- Staff logins -- a manager creates each person's login from their staff record on the desktop.
- A job's machines -- chosen in the Planner (under Work) on the desktop. The app shows them on the job but can't change them. See The Planner.
- Machine QR codes and check lists -- set up on the desktop, in Team & kit › Machinery and in Settings under Checklist templates. See Checks and QR tags.
Managers get both
Anything your crew records on the phone lands in TurfWise on the desktop, where managers can review it, approve it and report on it.
How do I get the app?
The app is on iPhone for now, as a test version that clubs are being invited to try through Apple's TestFlight. It isn't on the App Store yet. Your club admin or manager can show you the link and a QR code, or you can email paul@turfwise.co.uk.
Ask your club admin
Your admin or manager can show you how to install it. Managers see a Get your staff on card on Today with a link and QR code. If you're the admin, email paul@turfwise.co.uk and we'll get you set up.
Get your login
Your manager creates your login in TurfWise from your staff record and passes the details on, for example on a printed card or by text. A login can be a username or an email. See Adding your team.
Open the app and sign in with the username or email and the password you were given. That's it — you're straight in. If you forget your password, ask your manager to reset it from your staff record.
Can I use my phone login on the desktop too?
Your login always works in the phone app. Whether it also opens TurfWise on the desktop depends on your job title.
Owners, area managers, general managers, course managers, head greenkeepers and their deputies can use both. Everyone else uses the phone app only, which is where most of the day's work happens anyway.
Does each person need a login?
Only the people who'll use the app. On the free Core plan, a club can have up to 6 logins, including the owner. On Premium, logins are unlimited.
Staff records without a login don't count. You can still plan work for someone who doesn't use the app. See Core and Premium plans.
Common problems and fixes
I can't sign in to the app
Check the username or email and password with your manager. They can set a new password for you from your staff record, under Phone login & access, using Reset password. After five wrong attempts you'll be locked out for 15 minutes.
I can't find the app
The app is a test version on iPhone for now, so it won't appear if you search the App Store. Ask your club admin for the TestFlight link, or email paul@turfwise.co.uk.
An area is missing or has the wrong name on the phone
Areas are managed on the desktop, not the phone. Ask a manager to fix it in Course Areas (under Course). If the change still hasn't reached the phone after it's had signal for a while, email paul@turfwise.co.uk and we'll look into it.
Something I did on the phone isn't showing on the desktop
Give it a moment and refresh the desktop page. If you were out of signal, it will catch up once the phone is back online.
