Setting up H & S, the emergency card and the evidence pack
Work through the setup checklist, fill in the shed-wall emergency card and make a dated evidence pack for an inspector or your insurer

The Setup place of H & S walks you through the basics, and also holds the evidence pack and the legislation reference.
Premium
Setup, the emergency card and the evidence pack are part of Premium, along with the rest of H & S. Packs you've already made stay available.
Where is Setup?
Click H & S in the top bar, then Setup. The Setup entry shows in the row at the top while the checklist is unfinished, with a count such as "3 of 5". Once everything is done it leaves the row, but you can still reach it from the H & S menu.
Setup is for managers. Its menu lists Setup checklist, Evidence pack and Legislation, plus Club safety questions, which opens in Settings.
What's on the setup checklist?
The page is called Set up the basics. Nothing is created for you, so every assessment is yours to write and approve.
- Risk assessments — work you do. A list of common jobs. Click Start beside each one, or Open if it's done. Already on paper? Use Upload them and check the details before saving.
- Recurring site checks. Fire extinguishers, first-aid kits, chemical and fuel stores. You choose how often. See Site checks.
- Club safety questions. Up to 15 questions that decide which requirements apply to you. They live in Settings > Knowledge & policies > H&S policy.
- First toolbox talk. A short briefing the crew sign for on the phone.
- Emergency card for the shed wall. Shows what's missing until it's filled in.
How do I fill in the emergency card?
The emergency card is one printed page: who to ring and where everything is. Open it from H & S > Overview, from the Emergency card button, or from the setup checklist.
Everyone with H & S access can read and print it. Managers can edit it.
Click Fill in
It reads Edit once there's something on the card.
Say where you are
Add the Name on the card, Address, what3words (for the ambulance) and Fire assembly point.
List first aid and the hospital
Add your First aiders, then where the First-aid kit, Defibrillator and Spill kit are. Add the nearest Hospital and its address.
Add who to ring
Under Who to ring, add a name (Who) and Phone for each contact, then save.
Click Print for the shed wall. Your crew can also see a short version on My safety.
How do I make an evidence pack?
An evidence pack is a dated PDF of what you'd hand an inspector or your insurer. It covers any period you choose.
Open H & S > Setup > Evidence pack, or click Evidence pack at the top of the Overview.
Pick the period
Choose Last 3 months, Last 12 months, Since 1 January, or Pick dates and enter a From and To date.
Choose what goes in
Under What goes in, tick the records to include. The page counts them for you, so you can see any gaps before you make the pack.
Make the pack
Click Make the pack. It downloads as a PDF. Earlier packs stay listed under Packs you've made.
You need permission to export packs. The pack shows what's recorded, including gaps. It doesn't certify that the club is compliant.
What's on the Legislation page?
H & S > Setup > Legislation is a plain-English reference to UK health and safety law, with links to the official guidance. It's part of Premium. Reading it doesn't show that your club has put the arrangements in place.
