Health & Safety Overview

Find your way round H & S, see what needs doing and what is coming up, and learn where every safety record lives

On this page

H & S brings your greenkeeping safety records together: reports, assessments, checks, training and follow-ups. The overview shows what needs attention and what hasn't been assessed yet. It doesn't certify that the club is compliant or that work is safe.

What's free and what's Premium

Reporting a near miss, or something that's not safe, is free on every plan. So is reading and confirming the safety documents you're asked to read, on My safety. The rest of H & S is part of Premium. On Core you'll still see the Premium pages in the H & S menu with a padlock, and opening one shows what's included.

How is H & S organised?

Click H & S in the top bar. Managers see five places across the top of the page:

  • Overview — is the team working safely, what needs doing, what is coming up
  • Incidents — every report in one register. See Incidents and near misses
  • Assessments — Risk assessments, Safe systems, PPE and COSHH
  • Site checks — what's due, what was done, regular checks and examinations. See Site checks
  • Team — Everyone, Certificates, Toolbox talks, Read & signed, Induction and My safety

A sixth place, Setup, shows while the basics checklist is unfinished. See Setting up H & S.

Open the H & S menu to see every view in one list, including Emergency card, Evidence pack, Legislation and Club safety questions. If safety documents are in your Library, Safety documents takes you there.

Crew see one place only: My safety.

What does the Overview tell me?

The Overview page answers one question: is the team working safely?

  • Needs doing lists the most urgent items first. Each one has a button that opens its own record.
  • Where things stand shows a ring for each area, with how many are in hand out of the total.
  • Coming up lists reviews and expiries that are due soonest.
  • Your registers counts your records and links to each, with a link to the UK health and safety law reference.
  • Team shows how the team stands on induction.
  • Report something is the report form, on the right. See Report something.

Unknown or unassessed items stay visible. An empty list does not show that every requirement is met, and if a source can't be loaded the page says its information is incomplete.

Above the page, Report something, Evidence pack and Emergency card are one click away.

Changes to review

When something you rely on changes, such as a product, a safety data sheet or a machine, a Changes to review panel appears under the board with a link to the source. Review the arrangements and record what you checked or changed. Recording a review doesn't approve an assessment or confirm that work is safe.

How do I use the club's answers?

Once you've answered the Club safety questions, the Setup checklist adds a From your club answers list. It shows recorded actions with filters, and View all actions and evidence opens the full list.

Use Review applicability & decision history on an item to record why it doesn't apply, with a reason and a review date. A change to your club safety questions, or an expired review date, means it needs another look. Known hazards and unresolved work stay visible.

How do I review an examination report or other evidence?

Open H & S > Site checks > Examinations and click Add an examination report. You can review lifting examination reports, air compressor examinations, safe working instructions and health surveillance arrangements.

Select the original, a responsible person and the real review dates. TurfWise doesn't supply an examination interval. A new review keeps the earlier ones, and a change to the source flags the old review as needing attention.

Health surveillance reviews record arrangements only. Don't enter clinical results, diagnoses or fitness decisions.

How do I bring in existing paperwork?

On the setup checklist, click Upload them under the risk assessments list. Drop in a certificate or an existing assessment and check every suggested field against the original. You choose the staff member and expiry date for a certificate. Nothing is picked silently.

An imported assessment is saved as a draft. Approving it is a separate review.

How does my team see safety documents?

Your crew don't need the desktop. In the TurfWise mobile app, each person can read your club's active risk assessments, COSHH assessments and safe systems of work, plus completed inspections, and confirm they've read them. On the desktop the same list is on My safety.

If a document changes after someone has confirmed it, it goes back on their list. Managers can see who has confirmed what under H & S > Team > Read & signed. See Read & signed.

Where are the H & S settings?

The club safety questions and the COSHH policy are in Settings > Knowledge & policies > H&S policy. Open Settings from your initial at the right of the top bar. In the H & S menu the same page is listed as Club safety questions. Tick Require a COSHH assessment for bio-stimulants and click Save policy to set the COSHH policy.

Good habits

  • Check Needs doing regularly. Open the source record to see what's behind each item.
  • Report on the day. Details fade fast.
  • Review assessments before they're due, not after.
  • Expect re-confirmation. When you change a document, staff will need to read it again.
