Documents, Executive Reports and Evidence Briefs

Write course documents with AI help, send them for approval, and produce board-ready Executive Reports and Evidence Briefs

On this page

Documents is where you write your own course paperwork inside TurfWise — condition reports, project proposals and general documents — and take it through review and approval before it goes out.

Premium

Documents, the Executive Report and the Evidence Brief are part of TurfWise Premium.

Where do I find it?

Open the Write tab in the Library (or Records › Library › Write and report › Write), or open Documents. On smaller screens, tap Menu first. Under the title, My drafts, Awaiting review and Finalised filter the list, and New Document starts one for accounts with the appropriate access.

Below the header, the Documents page has its own sub-navigation:

  • Library — All Documents, My Drafts, Awaiting Review and Finalised
  • Reports — Executive Report and Evidence Brief

Down the right-hand side, Awaiting Review lists documents waiting for a decision, and Recent Activity shows who created, edited, approved or exported what.

You can search by title and filter by type using the controls above the list. To filter by status, use the Library shortcuts.

How do I create a document?

1

Click New Document

It's at the top right of the Documents page. If you don't see it, your role can read documents but not create them.

2

Choose a type

  • Course Condition Report — assembled from your course records, such as green speeds, moisture, clipping yields and disease data.
  • Project Proposal — pulls project details, budgets, phases and labour from an existing project.
  • General Document — a blank document for anything else, like meeting minutes.
3

Give it a title

Then click Create Document. TurfWise opens the editor straight away.

Using AI to draft it

For Course Condition Reports and Project Proposals, the editor has two buttons:

  1. Gather Data — pulls in the figures from your records. It changes to Data Gathered when it's done.
  2. AI Draft — writes a first draft from that data. You can open the options to add an AI instruction first, such as "keep it to one page" or "focus on the greens".

Gather first

The editor reminds you to gather data first for best results. The draft can only be as good as the records behind it.

Everything the AI writes is a starting point. Read it, change what needs changing, and add the context only you know.

How does review and approval work?

Every document moves through a clear set of stages, shown by the badge next to its title: Draft, Submitted, Under Review, Approved, Rejected and Finalised.

1

Submit it

While a document is a draft (or after it's been rejected), open it and click Submit. It's sent for approval.

2

A reviewer decides

Someone who can review documents opens it and uses the Review Decision panel. They can add an optional comment and click Approve, or click Reject — a reason is required when rejecting. A rejected document goes back to its author to edit and submit again.

3

Finalise it

Once it's approved, a manager or admin clicks Finalise. This locks the document so it can't be changed.

4

Export it

When a document is approved or finalised, an Export panel appears with DOCX and PDF buttons.

The Approval Status panel shows the history of decisions, and the Versions and Audit Log tabs keep a full record of what changed and who did it.

Need to change an approved document?

Click Revise. TurfWise creates a new editable version and moves the document back to Draft. The approved version stays locked, and its PDF is still downloadable from the Versions tab.

Other things you can do

  • Clone as New Draft — start a new document from a copy of this one.
  • Delete Document — available until a document is finalised, if your role allows it.

The Executive Report

The Executive Report is a one-click summary of a month (or any period up to 12 months) across the whole operation, ready for the board. Open it from the Board packs tab in the Library (or Library › Write and report › Board packs › Executive Report), pick the period and sections, add your own commentary, and Generate a PDF. Every report you generate is kept under Report History.

See Executive Report for the full walkthrough.

The Evidence Brief

An Evidence Brief helps you defend or explain a decision using your own records — for example, why greens were aerated during a busy week, or why fungicide spend went up. Open it from the Board packs tab, then Evidence brief (or Library › Write and report › Board packs › Evidence Brief), choose a brief type, audience and period, then Generate Brief, check how strong the evidence is, finalise and export.

See Evidence Brief for the full walkthrough.

Limited evidence means gaps in your records

If a brief comes back with limited evidence, it's telling you the records for that period are thin. That's worth knowing before you take it into a committee meeting.

Common questions

  • I can't see New Document. Your role can read documents but not create them. Ask a manager or admin.
  • I can't approve my document. Approving is done by someone with review rights, from the Review Decision panel.
  • The Export buttons aren't showing. Documents can only be exported once they're approved or finalised.
  • I need to change a finalised document. Click Revise to create a new version.
