Committee Reports
Generate formal narrative reports with financial data for committee and board meetings
Committee Reports turn your operational data into formal, presentation-ready documents for board and committee meetings. They include financial analysis, task summaries, staff metrics, and AI-generated narrative -- designed to be read aloud or distributed as a PDF pack.
Committee reports page
This article refers to a live TurfWise screen. Media is omitted here so the written steps stay current across releases.
What this page does
You pick a date range, and TurfWise generates a structured narrative report covering that period. The report pulls together task completions, financial data, staff metrics, and weather conditions into sections written in a tone suitable for committee members.
You can preview the report, edit individual sections, then download the final version as a PDF.
When would you use this?
- You're preparing for a monthly or quarterly committee meeting
- The board wants a formal summary of course operations and spend
- You need a professional PDF to hand out at a meeting
- You want to compare different periods (last month vs. two months ago) quickly
How to generate a committee report
Open the committee reports page
Go to Reports > Committee Pack from the main navigation. You'll see two sections: Quick Reports with pre-set periods, and a Custom Report option.
Choose a period
Quick route: The page shows cards for common periods -- last month, two months ago, three months ago, last 6 weeks, and last week. Each card has a Preview button (opens the create page with dates pre-filled) and a PDF button (downloads the report immediately without previewing).
Custom route: Click Create Custom Report or Create Report at the top of the page to open the full creation page where you can set any start and end date.
Set your date range (custom reports)
On the create page, you'll see quick preset buttons at the top: This Week, Last Week, This Month, Last 6 Weeks, and Last 30 Days. Click one to fill in both dates automatically, or set the start and end dates manually.
The page shows how many days your selection covers and labels it (Weekly Report, Monthly Report, or 6-Week Period) where appropriate.
Generate the preview
Click Generate Preview. TurfWise pulls the operational data for your chosen period and builds the report sections with AI-generated narrative content.
Review and edit sections
The preview shows all generated sections. You can edit the content of each section directly. This is your chance to add context, correct any details, or adjust the tone before downloading.
Download the PDF
When you're satisfied with the content, click Download PDF. The file downloads to your device, ready for printing or emailing.
Maximum period is 90 days
Committee reports cover a maximum of 90 days. If you select a range longer than 90 days, the generate button will be disabled and you'll see a warning. For longer periods, generate separate reports and present them together.
What's included in a committee report?
Committee reports typically contain:
- Executive summary -- high-level overview of the period
- Financial analysis -- budget, spend, and cost breakdowns
- Task and maintenance summary -- what work was completed and where
- Staff metrics -- hours, attendance, and team activity
- Weather and conditions -- how weather affected operations
- Forward plan -- what's coming next
The exact sections depend on what data was logged during the period. Sections with no data may be omitted or note that data wasn't available.
Quick download vs. custom preview
There are two ways to get a committee report:
Quick PDF download -- Click the PDF button on any Quick Report card. This generates and downloads the report in one step, without showing you a preview first. Use this when you know the data is clean and you just need the document.
Preview first -- Click Preview on a Quick Report card, or use Create Custom Report. This shows you the full report before downloading, and lets you edit sections. Use this when you want to review or adjust the content.
Preview when it matters
If the report is going to board members or external stakeholders, always preview first. A quick check takes two minutes and can save you from distributing something with an empty section or an unclear summary.
Common problems and fixes
- Generate button is disabled -- Check that both dates are filled in and the range doesn't exceed 90 days. The end date must be after the start date.
- Sections look thin or empty -- The report can only include data that was actually logged. If tasks weren't marked complete, time entries weren't submitted, or spray applications weren't saved during that period, those sections will be sparse. Log data consistently to get useful reports.
- PDF takes a long time to generate -- Longer date ranges (6+ weeks) involve more data and take longer. The button shows a loading spinner while it works. Don't click it multiple times.
- Numbers don't match what I expect -- Committee reports pull from the same source data as the rest of TurfWise. If totals look wrong, check the source pages (tasks, finance, staff) for the same period to see where the discrepancy lies.
- I need to change something after downloading -- Go back to the create page, regenerate the preview with the same dates, make your edits, and download again. There's no saved history of committee reports -- they're generated fresh each time.
Good habits that prevent issues later
- Generate a preview report a day or two before the meeting, not the morning of. This gives you time to check the numbers and add commentary.
- Use the same date range consistently between meetings. If the committee meets monthly, always use the calendar month (the This Month or last month preset handles this).
- Cross-check financial totals against the Finance pages before distributing. Committee members will notice discrepancies.
- Add context to the forward plan section. A list of planned tasks is less useful than explaining priorities and why they matter.
- Keep a copy of each PDF you distribute. If questions come up later, you'll want to refer back to exactly what was shared.
Where this fits in TurfWise
Committee reports draw from the same data as Weekly Reports, but they're formatted for a different audience. Weekly reports are operational updates for members and team. Committee reports are formal documents for boards and stakeholders, with more emphasis on financial analysis and strategic narrative.
The Export Centre is also available if the committee needs raw data in spreadsheet format rather than a narrative report.
Where to find it
Open Reports > Committee Pack from the main navigation, or go directly to /reports/committee.
The custom report creation page is at /reports/committee/create.
