Build a service plan from the manual
Upload a machine's operator or service manual and let TurfWise draft every service interval, with the page it came from, ready for you to check and activate
TurfWise can read a machine's manual for you, draft every service interval it finds with the manual page it came from, and turn the ones you approve into scheduled services with reminders.
Save time
Instead of thumbing through a 200-page manual and typing intervals in by hand, you upload the PDF once and check a ready-made list. Each interval links straight to its page, so checking is quick.
This is part of Premium. On Core, the Service plans panel carries a Premium badge and tells you manual service plans are included in Premium. Managers and admins can set up plans; other staff can view them.
How do I build a service plan?
Open the machine from Machinery and go to the Plans & Manuals tab. The Service plans panel sits at the top.
Upload the manual
Click Upload manual. Give it a Title, choose the Document Type (Operator Manual, Service Manual or Parts Manual) and pick the file. It must be a PDF of up to 50MB, and no longer than 600 pages.
Let TurfWise read it
Choose the manual from Select a manual and click Read service requirements. TurfWise works through it section by section and shows how many pages it has read. You can click Pause at any time; your progress is saved and Resume carries on where it stopped.
Review the drafted intervals
When the status shows Ready for review, click Review requirements. Each service shows its name, whether it's Recurring, an Initial service only or Reference only, the interval in hours or months/days, plus conditions, parts and fluids, and precautions. Click Manual page to open the manual at the exact page.
Set when each one is next due
Tick Add this service to the schedule for the ones you want. Fill in the Next due meter reading (hours) or Next due date. To save typing, enter a Schedule start date and Starting meter (hours) and click Apply starting values. Set the Reminder lead in days and hours too.
Confirm and activate
Tick the box confirming you have checked the intervals against the manual, then click Activate. You'll see "Service schedule activated" and managers start getting due and overdue reminders in their notification inbox.
This is an AI draft
The review screen says so plainly: verify the intervals and any chart symbols against the manual before you activate. Manuals often cover several models or attachments, so make sure each interval applies to your machine.
What happens after I activate?
Your approved services appear under Scheduled services, each showing when it's next due by hours or date and the manual page it came from.
Recording a service
When the work is done, click Record service, enter the Completed date, Meter reading (hours) and Work performed, then Save service. TurfWise works out the next due point for you.
Daily items
Anything the manual says to do every day is labelled Daily · a pre-use check, not a service. Those belong in the machine's pre-use checklist rather than the service plan. See Checks and QR tags.
You can Pause a scheduled service if it no longer applies, and Resume it later.
Common problems
- "Manual reading is currently unavailable" — automatic reading is switched off at the moment. You can still add schedules by hand on the machine's Schedules tab.
- "Paused after an error" — click Resume to try that section again.
- "No service requirements were found in this manual" — it may be a parts manual. Try the operator or service manual instead.
