Generate, edit, approve, and publish weekly member communication reports

Weekly Reports pull together your operational data from the past week into a shareable report for members, managers, or your team. TurfWise auto-generates most of the content from what you've already logged, so you're not writing everything from scratch.

What this page does

The weekly reports system takes task completions, staff hours, spray applications, weather conditions, and machinery activity from your chosen week and generates a structured narrative report. You review it, edit anything that needs changing, submit it for approval, and then publish it -- optionally emailing it to members.

Reports move through a clear workflow: Draft, Pending Approval, Approved, and Published.


When would you use this?

  • You need to send members a weekly course update
  • Your manager or committee wants a structured summary of the week's work
  • You want a record of what happened each week, with data to back it up
  • You need a PDF to hand to someone who doesn't use TurfWise

How to create a weekly report

Open the create page

Go to Reports > Weekly Report and click Create Report at the top. You can also get there directly via the Communications navigation bar by clicking New Weekly.

Select the report week

Pick the Monday start date for the week you want to report on. The end date (Sunday) fills in automatically. TurfWise defaults to the current week.

Choose which sections to include

You'll see toggle checkboxes for each section: Course Conditions, Tasks, Staff, Applications, Machinery, Weather, and Upcoming Work. All are enabled by default. Turn off any sections you don't want in this report.

Use Select All or Deselect All to speed things up.

Add your own notes (optional)

The Greenkeeper's Notes box is where you add anything TurfWise can't capture automatically -- member feedback, tournament prep, observations about course condition, or context around decisions you made that week.

Generate the report

Click Generate Report. TurfWise pulls the data for your selected week and builds the report sections. If a report already exists for that week, you'll be asked whether to view the existing one or create a new one.

Review the output

After generation, you'll see a preview with all the auto-generated sections plus summary stats (tasks completed, staff count, applications, average temperature). Each auto-generated section is labelled accordingly.

If you're happy, click Continue Editing to go to the full edit page.

Where does the data come from?

Weekly reports pull from tasks marked complete, staff time entries (or task completions if time tracking isn't active), logged spray applications, weather data from your connected provider, and machinery usage records. If any of these are empty for the week, you'll see a note in the report telling you the data source wasn't available.


How to edit a report

Only Draft reports can be edited. If a report has already been submitted for approval, you can't change it.

Open the report

From the weekly reports list, click the edit icon next to a draft report. Or open the report and click Edit.

Update section titles and content

Each section has an editable title and content area. Change the wording, add context, or remove content that isn't relevant.

Save your changes

Click Save Changes. You'll be taken back to the report view page.


The approval and publishing workflow

Weekly reports follow a four-stage workflow. Each stage has different actions available.

Draft

  • You can edit, delete, or submit for approval
  • The report is only visible to its author and approvers

Pending Approval

  • An approver reviews the report on the Approve page
  • They can approve or reject it
  • Rejecting sends it back to Draft status

Approved

  • The report is ready to publish
  • Click Publish to make it available to members

Published

  • The report is read-only
  • You can still download a PDF
  • If you chose to email on publish, members receive it automatically

Use the Approve page for batch reviews

Go to Reports > Weekly Report, then click the Approve icon in the Communications navigation bar. This shows all reports waiting for approval in one place, so you don't have to open each one individually.


How publishing works

When you click Publish on an approved report, a dialog appears with two options:

  • Send email notification -- emails the report to members. Enabled by default.
  • Use member email list -- sends to all members, managers, and admins. Appears when email is enabled.

You can publish without sending email if you just want to make the report available in TurfWise.


Downloading a PDF

You can download a PDF of any report at any stage. On the report view page, click PDF in the top right. The file downloads immediately.


What good commentary looks like

Your auto-generated sections provide the data. Your notes and edits provide the context. Committee members, managers, and members all want to know three things:

  1. What happened this week?
  2. Why did it happen (or why not)?
  3. What's coming next?

Strong example: "Frost delays on Tuesday moved aeration to Thursday. We prioritised greens prep and disease monitoring. Next week we'll recover bunker edging and complete the remaining tees."

Weak example: "Busy week. Weather poor."


Common problems and fixes

  • "A report already exists for this week" -- You've already generated a report for that Monday-to-Sunday range. You'll be asked if you want to view/edit the existing one instead.
  • Can't edit a report -- Only Draft reports can be edited. If it's been submitted for approval, ask the approver to reject it so it returns to Draft.
  • Sections are empty or say "no data recorded" -- The underlying data wasn't logged that week. Check that tasks were marked complete, time entries were submitted, and spray applications were saved.
  • Report doesn't show machinery data -- Machinery usage tracking feeds into this section. If nothing was logged, the report will note that.
  • Can't find the Approve page -- Look for the Approve icon (tick mark) in the Communications navigation bar at the top of any weekly report page.

Published reports cannot be unpublished

Once a report is published, it's final. Double-check content before publishing, especially if you're sending it by email.


Good habits that prevent issues later

  • Generate reports at the end of the week, not days later. The data is freshest and you'll remember what happened.
  • Always add your own notes. Auto-generated text covers the "what" but not the "why".
  • Review every section before submitting. Auto-generated content sometimes includes sections with limited data -- add context or remove them.
  • Use the section toggles. If you didn't log machinery that week, turn off the Machinery section rather than leaving it empty.
  • Keep a consistent publishing schedule. Members expect reports at the same time each week.

Where this fits in TurfWise

Weekly reports are one of three report types in the Reports hub. They pull data from across TurfWise -- tasks from the Work Planning pages, spray data from the Spray Logger, and weather from your connected provider. The quality of your reports depends directly on how consistently your team logs their work.

Committee reports (Committee Reports) serve a similar purpose but are designed for formal board presentations rather than weekly member updates.
