Skills and Training

Track who can do what with the skills matrix, manage qualification types, and set training requirements so the right people do the right work

On this page

Skills & Training shows you who on your team can do what, where the gaps are, and whether each person holds the training their work calls for.

Premium

The skills matrix, qualification types, training requirements and each person's training record are part of Premium. On Core you'll see Skills & Training with a lock.

Where do I find it?

Click Team & kit in the top bar, then Staff › Skills & Training › Skills & Training. The page has four tabs:

  • Matrix — everyone against every skill, with their level
  • Qualifications — the types of certificate you track and how long each lasts
  • Competency sign-offs — a shortcut to the team training overview in H & S
  • Skill definitions — the list of skills that make up your matrix

Each person's own record lives on their profile, under the Skills & training tab.

How do I set up my skills?

Start with Skill definitions. This is the list of columns in your matrix.

1

Add a skill

Click Add skill. Give it a Name (for example "Spraying"), choose a Category and, if you like, a short Description of what it covers.

2

Save and repeat

Click Save skill. Add as many as you need — mowing, spraying, machinery operation, chainsaw and so on.

You can edit or delete a skill from the same list. If you see "These definitions are read-only for your account", ask a manager or admin to make the change.

Keep names consistent

One skill called "Chainsaw" and another called "Chain Saw" split your matrix in two. Agree a name and stick to it.

How do I read the skills matrix?

The Matrix tab shows one row per person and one column per skill. Across the top are People, Skills tracked, Avg level, Critical gaps and Expiring certs (certificates due in the next 30 days).

Each cell shows a level from 1 to 5:

  • 1 Trainee
  • 2 Junior
  • 3 Intermediate
  • 4 Senior
  • 5 Expert

Low levels are amber, a 3 is blue, and 4s and 5s are green. An empty cell means no level is recorded, and a red outline means the skill has expired. The Avg column on the right is each person's average across the skills they have.

How do I update someone's level?

Tap any cell. Pick a level from 1 to 5 and click Save level, or click Remove to take the skill off them.

Update it on the day

When someone finishes a course or a day's training, update their level that day. It keeps the matrix honest and means your planning reflects who can actually do the job.

What are Development priorities?

Underneath the matrix, Development priorities lists the skills where your team is weakest — ranked by how many people are at level 2 or below. Each card shows the team's average, how many people are trained, a bar of the level spread, and a Needs work list of names you can click straight through to.

A skill is marked High priority when three or more people need to level up, or the team average is below 2.5.

How do I manage qualification types?

The Qualifications tab is your list of the certificates you track across the team — PA1, PA6, first aid, chainsaw and so on.

Click Add qualification, give it a Name, a Category and how long it's Valid for (months), then Save qualification. Each person's certificates and their expiry dates show on their profile.

Individual training certificates — the date someone did a course, who ran it and when it runs out — are recorded in the training register under H & S › Team. See Toolbox talks and training.

What's on a person's Skills & training tab?

Open anyone's profile and click Skills & training. You'll see:

  • Training record — whether they hold the training their work needs (more on this below)
  • Skills — each skill with its level
  • Qualifications — each certificate, when it was obtained, when it expires, and a bar showing how much of its life is left. Anything with 60 days or less shows how many days remain, and expired ones are marked Expired.

How do training requirements work?

Training requirements are your club's list of "to do this work, you need this". Once they're set up, TurfWise checks them for you when someone is given work, and shows the gaps on their record.

Set them up under H & S › Team, then What each role needs.

1

Start with your document mappings

If you've linked risk assessments, COSHH assessments or safe systems of work to your tasks, click Import document mappings. Every "this task needs this read" becomes a requirement. Running it again won't create duplicates.

2

Add a requirement

Click New requirement and give it a Name (for example "PA6 spraying certificate").

3

Choose what counts

Under Counts as, pick Certificate, Machine ticket, Toolbox talk, Document read or Course, then fill in the details — for a certificate, the training types or qualification templates that count; for a machine ticket, the machine type and minimum level.

4

Choose what happens at the start of work

Under At start of work:

  • Block — the work can't be started on the desktop until it's met (the mobile app records the gap)
  • Warn — the work starts, and the gap is shown to the person and recorded
  • Track only — nothing is shown at the start; it's just tracked on their record
5

Choose when it's asked for

Under Asked for:

  • When work matches — add triggers such as an activity type, task template, course area, a word in the task title, a machine type or a specific machine
  • On joining (by role / department) — for everyone in the roles or departments you list
  • By hand only
6

Set renewal and save

Add Renew every (months) if it expires, Grace days from start for new starters, and whether it's Mandatory (mandatory ones count against readiness). Click Create requirement.

The requirements list shows what each one counts as, when it's asked for, what happens at the start of work, and how many people have it open, due, expired or valid. Click Edit to change a requirement, or Retire when you no longer need it — tick Show retired to see retired ones again.

How do I read someone's training record?

The Training record panel on their Skills & training tab starts with five figures:

  • Ready at start — of the work they started in the last 90 days, how often they held everything it needed
  • Outstanding — mandatory requirements they haven't met
  • Overdue — past their due date
  • Expiring — within 30 days
  • Valid — in date

Below that is one line per requirement, with its status: Not started, Due, Valid, Expiring, Expired, Exempt or Closed. It tells you what counts, when it's due, and how many pieces of live work are asking for it. Recent starts shows the last times their training was checked when they began a job or a pre-start machine check.

What can I do about a gap?

Managers get three buttons on an open requirement:

  • Allow today — lets them start without it for the next 24 hours, with a reason (for example, working under supervision). The requirement stays due.
  • Link evidence — points the requirement at evidence TurfWise didn't match automatically, with a note saying why it counts.
  • Exempt — this person will never need it. You'll be asked why, and your name and reason are recorded.

Use Allow today sparingly

An override is recorded against the person's record every time. It's for genuine one-offs, not a way round a requirement that's out of date — if the requirement is wrong, change it under H & S › Team › What each role needs.
