Toolbox Talks and Training Records

Run toolbox talks with attendance and sign-off, and keep certificates in date

On this page

Toolbox talks are short safety briefings for the crew, and the certificates view holds everyone's qualifications — together they show that your team has been told about the risks and is qualified to do the work.

Premium

Toolbox talks and certificates are part of Premium, along with the rest of H & S. Certificates and Induction also need the staff skills and training features, which are part of Premium too.

Where are toolbox talks?

Click H & S in the top bar, then Team, then Toolbox talks. The page shows how many Sessions you've run, how many are Delivered and Closed, and how many Pending sign-offs are outstanding.

Search by title, presenter or location, and filter by category and status. Each talk shows its category, presenter, location, when it was delivered and how many people have signed.

How do I run a toolbox talk?

Every talk starts from a talk in your club's library, grouped into categories such as Machinery, Chemicals, Manual Handling, Seasonal, Electrical, Fire, Lone Working, Biohazard and Heat. TurfWise doesn't come with ready-made talks, so a new club's library starts empty.

1

Click New talk

Or browse the templates first, then click Use this template on the one you want. If you have no talks yet, Browse templates is on the empty page.

2

Pick the template

Choose it from Template — its Talking points appear so you can see what you'll cover.

3

Set the details

Choose the date and time (always treated as UK time), the Presenter, and optionally a Location (such as "Main shed") and notes.

4

Choose who attended

Tick each person who was there, or use Select all. You need at least one attendee.

5

Create the session

Click Create session. Everyone you ticked is now invited to sign.

How do people sign off a talk?

Attendees can sign in the TurfWise mobile app. On the desktop, a talk waiting for someone appears under To sign on My safety, and someone who attended can open the talk and click Sign for me, then type their full name to confirm they attended and understood it.

The talk's page shows an Attendance summary — Invited, Signed, Absent and Pending — and each attendee's status.

Signing on someone's behalf

If someone attended but couldn't sign (no phone signal, for example), a manager can click Confirm attendance against their name. A reason is required and stored for audit.

If someone wasn't there, click Mark absent and optionally say why (on holiday, off sick and so on).

Closing a talk

When everyone's signed or been marked absent, click Close session. It locks the talk so nobody can sign it any more. Once it's closed, Download PDF gives you a signed record for the file.

Close session stays greyed out while anyone is still pending. An admin can use Force close instead — anyone still pending won't be able to sign after that. An admin can also Reopen a closed talk if you need to.

Keep briefing evidence distinct

Talk delivery and attendance are recorded evidence. They do not replace assigned training, observed competence or assessment approval, and do not produce an overall compliance percentage.

Where are certificates?

Click H & S, then Team, then Certificates. The page shows who holds what: Certificates, Expired, Expiring in 30 days and Staff with none on file, then a grid of your team against each certificate type.

Set what each job needs opens Training requirements in Settings, where you say which certificates a kind of work needs. Induction (also under Team) lists your team person by person. Competencies are covered in Skills and training.

How do I add a certificate?

Certificates are kept on each person's staff record, and this page reads the same records.

1

Click Add a certificate

Got the paper certificate? Use Upload it instead and check what's read from it.

2

Choose the person and certificate

Pick the Person, then the Certificate from your list, or choose Something else (type the name), for example PA1, PA6 or Emergency First Aid at Work.

3

Add the dates

Enter when it was Issued and when it Expires. Tick Doesn't expire if it doesn't. You can add a Certificate number (optional).

4

Save

Click Add certificate.

Keep expiry dates accurate

Expired certificates show as Expired with a prompt to renew. When someone renews, add the new certificate with its real expiry date.
