Managing club diary events and head greenkeeper schedules across month, week, and day views
Calendar is your shared scheduling page for club-wide events and greenkeeping management activities. It gives you a place to record competitions, course events, meetings, and planning dates -- separate from the task-level detail in Work Planning.
Calendar month view
This article refers to a live TurfWise screen. Media is omitted here so the written steps stay current across releases.
When would you use this?
- Logging upcoming club competitions, society days, or member events
- Planning management activities like committee meetings or course walks
- Sharing a visible schedule between the club office and greenkeeping team
- Importing or exporting calendar data to sync with other systems
What happens when you use it
Events you create here are stored against a specific calendar (Club Diary, Head Greenkeeper, or External Sync). They appear on the calendar grid in the colour assigned to that calendar.
Calendar events are separate from Work Planning tasks. The calendar is for dates and events. Work Planning is for jobs and assignments.
How to use this page
Choose your view
Switch between three views using the buttons at the top right:
- Month -- the default view, showing the full month at a glance
- Week -- a seven-day view with time slots for more detail
- Day -- a single day with hourly slots
Use the navigation arrows to move forward and back through dates.
Create an event
Click the New Event button, or click directly on a date or time slot in the grid. This opens the event form.
Fill in:
- Title -- what the event is
- Calendar -- which calendar it belongs to (see below)
- Start and end date/time -- or toggle All Day for full-day events
- Status and Privacy -- optional settings
- Location and Description -- optional but useful for shared visibility
Edit or delete an event
Click any event on the calendar to open its details. From there you can edit the event, delete it, or download it as a single .ics file.
Manage your calendars
Click the Manage button (the cog icon) to open calendar management. Here you can:
- Create new calendars
- Set a calendar colour for easy visual distinction
- Choose which calendar is the default (used for import/export)
- Delete calendars you no longer need
Import or export calendar data
Use the Import and Export buttons in the header:
- Import loads events from a
.icsfile into your default calendar - Export downloads your default calendar as a
.icsfile for the current month
Both buttons are disabled until you have set a default calendar in Manage.
Set a default calendar first
Import and Export won't work until you've designated one of your calendars as the default. Open Manage and tick the default option on the calendar you want to use.
What are the calendar types?
When you create a calendar in Manage, you choose one of three types:
- Club Diary -- for shared, club-wide events like competitions, society days, and open days
- Head Greenkeeper -- for management planning, course walks, committee meetings, and leadership activities
- External Sync -- for imported calendar feeds and integrations from other tools
Keep calendars separate
Set up at least two calendars -- one Club Diary and one Head Greenkeeper. This makes it immediately clear whose events are whose when you're looking at a busy month.
Common problems and fixes
- "Import and Export buttons are greyed out" -- You haven't set a default calendar. Open Manage, find the calendar you want to use, and mark it as default.
- "I imported a file but nothing appeared" -- Check that your
.icsfile is valid. TurfWise will tell you how many events were imported and how many failed. If all events failed, the file format may be incorrect. - "Events are hard to tell apart" -- Assign different colours to each calendar in Manage. The colour appears as a dot on every event in the grid.
- "I accidentally deleted an event" -- There's no undo for deleted events. If the event was imported from an external source, re-import the
.icsfile.
Good habits that prevent issues later
- Name events clearly. "Monthly Medal - Stroke" is far more useful than "Competition" when you're scanning a busy week view.
- Use the Club Diary for anything the club office or committee needs to see. Use the Head Greenkeeper calendar for internal greenkeeping plans.
- Review next month's calendar at the end of each week. This catches clashes between competitions and planned course work early.
- Clean up past events periodically. Outdated events clutter the view and make it harder to spot what matters.
Where this fits in TurfWise
Calendar events help you plan around club activities. When you know a competition is coming, you can adjust your Work Planning tasks and spray windows accordingly.
Calendar data does not feed directly into Work Planning or reports -- it's a reference tool for scheduling context.
