Attendance and the Time Clock
Clock in and out, take breaks, see who's on site, and approve the week's hours for payroll
On this page
The time clock records when each person starts and finishes work, so you can see who's on site right now and turn the week's hours into an approved timesheet for payroll.
What's free and what's Premium?
Clocking in and out is for everyone. Managing the team's hours is a Premium feature.
- Every plan — each person can clock in and out, take breaks (if you've switched them on) and see their own shift
- Premium — the live board of who's on the clock, weekly timesheets, approvals, corrections, exports and sending the week to payroll
Premium
The Time Clock page in Staff — its Live, Timesheets, Approvals and Settings tabs — needs Premium. On Core your crew can still clock in and out; you just won't have the manager tools to review and approve those hours.
Before anyone clocks in: set your clock rules
Clocking has to be switched on for your club first. An admin does this once.
Open the clock rules
Click your initial at the right of the top bar, then Settings, and under People & attendance choose Attendance & clock rules. The same rules are on the Settings tab of Team & kit › Staff › Attendance & time › Time Clock.
Switch clocking on
Turn on Clocking enabled. Until you do, anyone who tries to clock in is told attendance isn't enabled.
Decide on GPS
Require GPS captures each person's location when they clock in. Allow clocking without GPS lets someone clock in anyway if their phone can't get a location fix.
Choose whether staff take breaks on the clock
Under Staff clock workflow, pick Clock in / clock out or Clock in / out + start / end break. If you use breaks, set whether Default breaks are paid.
Draw your geofence
Under Course geofence, enter the centre point and a radius in metres, or click the Geofence map to set the centre. For an odd-shaped site, draw a polygon on the map — a polygon takes priority over the radius. Click Save settings.
The geofence flags, it doesn't block
Someone who clocks in outside your geofence can still clock in. The shift is flagged so you can check it — they'll see "Clocked in outside the course geofence" and you'll see it on the live board.
Your break windows and paid or unpaid breaks live under Settings › People & attendance › Break times, and your rota under Settings › People & attendance › Shift patterns.
How do I clock in and out?
Most of the crew will clock in from the TurfWise mobile app. You can also do it from the desktop.
Open the clock
Click Team & kit in the top bar, then Staff › Attendance & time › Time Clock › Clock in / out. (Your crew can bookmark this page.)
Allow location
Your browser will ask to use your location — say yes. TurfWise checks it against the course geofence. If you've blocked location, you'll see Location permission denied and need to allow it in your browser settings.
Tap Clock in
You'll see You're clocked in with a running timer and your start time.
Take a break (if enabled)
Tap Start break and then End break. The shift timer keeps running while you're on a break — the break is worked out separately.
Tap Clock out at the end of the day
Your last shift then shows underneath, with its times and hours.
What if there's no signal?
If you lose connection when you tap Clock in or Clock out, TurfWise saves the punch on your device with the time you tapped it. You'll see how many punches are waiting to sync, and they send themselves as soon as you're back in signal — or tap Try now.
Offline punches need approving one by one
A punch recorded offline is flagged for your manager, because the time came from the device rather than the server. It won't be included when they approve the whole week — they approve it individually.
Where are the manager tools? (Premium)
Team & kit › Staff › Attendance & time › Time Clock has a tab for each manager job. Each tab has its own guide:
Live
Who's on the clock right now, with counts for geofence issues and long shifts, and buttons to clock someone in or out for them when their phone is flat. See Live Board.
Timesheets
Every shift clocked in a week — person, day, in, out, hours and status — with weekly totals. See Timesheets.
Approvals
The weekly sign-off: check the week against the rota, fill in missed shifts, approve the week and send it to payroll or the GM. Offline punches are approved one by one. See Approvals.
You can't approve your own hours
TurfWise won't let anyone approve their own shifts — another manager has to do it. The same goes for leave and TOIL.
Approvals and leave requests are different jobs
Approving hours happens on the Approvals tab. Approving leave happens in Attendance & Leave › Requests — see Absences and leave.
Common problems
- "Attendance feature is not enabled" — clocking hasn't been switched on. An admin needs to turn on Clocking enabled in Settings › People & attendance › Attendance & clock rules.
- "GPS location required for clock in" — your club requires GPS and your device didn't send a location. Allow location for TurfWise and try again, somewhere with a clear view of the sky.
- "You are already clocked in" — you've still got an open shift. Clock out first.
- A queued punch was rejected — the offline punch couldn't be accepted. Ask your manager to add the shift by hand on the Approvals tab.
