Timesheets

See where the team's hours went over a week, four weeks or a month — weekday, weekend, overtime and leave by person, against the rota

On this page

Timesheets shows where the team's hours went, person by person, over a week, four weeks or a month. It's for looking back; to fix or approve hours, use Approvals.

Premium

Timesheets is one of the Time Clock manager tools, which need Premium.

Where did the hours go?

The green card at the top answers that in a sentence, for example "273h worked against 283h on the rota. 7h was weekend work (Frankie and Jake). John was 8h short with no leave booked. 35 shifts still need approving."

  • Week / 4 weeks / Month changes how much you're looking at. Use the arrows to move back or forward, or This week / This month to come back.
  • The five tiles are Worked (against the rota), Weekend (Saturday and Sunday), Overtime (hours paid as overtime, or banked as TOIL), Leave & TOIL (authorised time off) and Approved (shifts signed off).
  • Approve in Approvals takes you to the week to approve. Export week downloads the week's timesheet.

The figures come from the same weekly record as the payroll export and Send to payroll / GM, so they always agree with what goes to the bureau.

Reading the table

Week shows one row per person: Weekday, Sat, Sun, Overtime, Leave & TOIL, Worked, vs rota and Status. Hours are paid hours, after unpaid breaks. A Bank hol column appears when the week has one.

vs rota counts leave and TOIL as covering the rota, so someone who worked 32h and had a day's annual leave against a 40h rota is On rota. It shows +2.0h over, or −8.0h with "no leave booked" when hours are short and nothing explains it.

Click a person to see their days: hours, clock times, leave, and the days they had no hours.

4 weeks and Month put each person's weeks side by side, coloured On rota, Over, On rota with leave or Short, no leave. Click a week to open it. A month counts only its own days, so the first and last weeks say "1–4 Oct only" and so on. The bottom row shows each week's total and whether it's been approved.

Sort puts the people furthest from their rota first; you can sort by name or most hours instead.

Leave with no pay rule

Each club decides how each kind of leave is paid in Settings › People & attendance › Annual leave › How leave is paid (Paid, Unpaid or Not set). Leave whose kind is Not set is flagged on the card, and Send to payroll asks how it was resolved before it sends. Once every kind has a rule, the question goes away.

To fix times, add a shift or approve the week, see Approvals.
