Safety follow-ups

Give every unsafe thing an owner and a date, see what's late or waiting for your check, and record the work, the evidence and the review until it's put right

On this page

Follow-ups are the jobs that put something unsafe right — a loose step, a damaged hose, a finding from an inspection — each with someone's name on it and a date.

Open H & S > Incidents and use the Follow-ups switch beside the kind tabs (next to Reports). It's for managers, and it's part of Premium. Saved follow-ups stay visible on Core, but Premium is needed to add or change them.

The Follow-ups switch only shows when follow-ups are switched on. If you don't see it, they aren't on yet.

Is everything unsafe being put right?

That's the question the page answers. The card at the top shows Open, Late, Waiting for your check and Put right this month, and the list below sorts the open follow-ups into bands:

  • Late — open or in progress and past its due date
  • Waiting for your check — the work has been done and submitted; the next move is yours
  • Due this week — due today or in the next six days
  • Later — everything else still open

Each row shows the title, where it is and what it came from, and an Open button — or Check and close when it's waiting for you. Use the Everyone's, Mine and Put right pills and the Search box to narrow the list. Who has what shows the load per person.

Waiting beats late

A follow-up that's been submitted for your check never shows as late, however old it is. The crew have done their part — nobody gets chased for a manager's review.

How do I add a follow-up?

Click Add a follow-up at the top, or use the report buttons beside it, such as Something's not safe. A report goes into the register; a follow-up is the job that puts it right.

1

Say what needs putting right

A short line is enough, for example "Loose step on the shed ladder".

2

Choose who and by when

Pick the owner and the due date (it suggests a week from today). Both are required — the point of a follow-up is that somebody has it.

3

Save follow-up

To add where it is, a priority, instructions or photos, use More detail, or open the follow-up afterwards.

Follow-ups raised from an incident or inspection are made on that record instead: its Safety follow-ups panel has an Add safety follow-up button and links back here.

How does a follow-up get closed?

Open it and you'll see its status — Open, In progress, Awaiting review, Closed or Voided — and what it was raised from.

1

Start work

Click Start work. Under Work to be done you can change the title, owner, due date, priority and instructions, then Save changes.

2

Attach evidence

Under Evidence, attach a PDF or photo of up to 2 MiB and click Attach file.

3

Record the resolution

Say what was done. If there's no attachment, explain why. Click Submit for review and it moves to Waiting for your check.

4

Review the resolution

A manager writes a review note and chooses Accept and close follow-up or Return for more work, then clicks Record review.

Reviewing your own work

You can review a follow-up you submitted yourself, but it's recorded as a self-review. Where you can, get a second pair of eyes on it.

A closed follow-up can be reopened with Reopen follow-up; one raised by mistake can be removed with Void follow-up. Both need a note, and Follow-up history keeps who recorded each change and when.

To bundle your safety records for an auditor, make an evidence pack. See Setting up H & S.
